CHR RECOMMENDED COURSES FOR PURCHASERS

BruinBuy PAC Preparer

This class is designed for staff responsible for creating and approving BruinBuy requisitions. BruinBuy requisitions may include multiple supplier catalogs, department orders, reimbursements and check requests.

Note: Reviewers may enroll in the BruinBuy PAC Preparer class in lieu of the Reviewer class to receive full training in the BruinBuy system.

Class topics include:
  • Overview of the BruinBuy system and PAC web interface
  • Detail responsibility within the BruinBuy Process
  • Principles of UCLA Financial Policies
  • Review of system security and accountability
  • Multiple vendor catalog processing
  • Multiple line special request processing
  • Reimbursements and check requests
  • Overview of BruinBuy requisitions, transaction processing and information inquiry responsibilities

    The class combines lecture, class discussions and specially designed hands on computer workshops.

    Participants must have an AIS Logon ID and active password prior to attending the class. In order for a Logon ID to be assigned in time for training, departments should submit a System Access Request (SAR) to Administrative Information Systems (AIS) at least two weeks prior to training and ensure that the participant has attended the AIS Security and Logon ID training class. Participants must also have an active e-mail address in the Orion directory. NOTE: Class size is limited to 15 participants.

    Express - Training Level 1

    Express training has been split into two sessions. Both courses are hands-on and require the trainee to have an ISIS login type, whether AIS Oasis, QDB, or Bruin/UCLA Online. Please contact your business office to confirm before registering for this class.

    Express Training Level 1 introduces the Express system and processing including background information, workflow and authorizations, policy embedded in Express, signature requirements, and system definitions. The participants prepare 3 basic travel expense reports in the Express training system and will submit one of them giving them a “real life” perspective. Emphasis is given to UC policy throughout the training as well as tips and hints to help departments minimize errors that can cause delays in reimbursements. Express Training Level 2 is recommended after completing Level 1.

     

     

    Express - Training Level 2

     

    Express Training Level 2 covers, in detail, entertainment reimbursement processing and policy requirements. This course also

    covers Non-employee Reimbursements including special documentation requirements, and foreign travel reimbursements

    including foreign per diem and currency conversions. Participants will create an expense report as each of these topics is

    discussed. Emphasis is given to UC policy throughout the training as well as tips and hints to help departments minimize errors

    that can cause delays in reimbursements.
